Your data
Privacy notice
We only ask for what we need to look after your booking, we keep it locked down, and we delete it when we're done.
Who we are
The Blue Bell, Kirby Hill, Boroughbridge, North Yorkshire, YO51 9DN, is responsible (the “data controller”) for the information you give us. Contact: info@bluebellkirbyhill.co.uk · 01423 439405.
What we collect
- Your name, email address and phone number.
- Booking details: dates, times, party size, room choice.
- Anything you choose to tell us in the notes, such as allergies or access needs. Allergy and health information is used only to keep you safe during your visit.
- If you send us a message through our Contact page: your name, email address, phone number (only if you give it), what your message is about and the message itself.
- If you email us: your email address, your message and anything you attach.
Why, and our lawful basis
We use your details to take, confirm and manage your booking (performance of a contract, or steps taken at your request before one). If you tick the marketing box we'll occasionally email you about events, and you can opt out at any time (consent).
When you send us a message or an email, we use your details only to reply and to help with what you've asked about, such as a booking or a party (steps taken at your request, or our legitimate interest in answering the people who get in touch). The box you tick on the contact form confirms you're happy for us to reply. Sending us a message never adds you to a mailing list.
How we keep it safe
- The booking and contact forms are sent over an encrypted (HTTPS) connection.
- The moment your booking request or message arrives it is encrypted with a key that only the pub's own booking computer holds: our booking system, described below. The website never keeps a copy anyone can read, and the online copy is deleted as soon as the pub collects it, usually within a minute.
- Our bookings are managed in an online booking system, so our team can use it at the pub and on their phones. It is hosted by Netlify, with its database provided by Netlify DB (run by Neon), on the account of our IT provider, ABOS Digital. Everything in it is encrypted at rest and sent over encrypted connections. These companies may store it on servers outside the UK, under data protection terms that meet UK law.
- We read and answer messages and emails in our booking system, where they are stored encrypted behind individual staff logins. Every member of staff has their own login with a second security step (a code from their phone).
- We email you a confirmation of your booking, and our replies to your messages, from our own email account.
- Encrypted backups of our booking records and website messages are held by our IT provider, ABOS Digital, who look after our booking system for us.
- Short alerts about new bookings and messages are sent to our staff's phones. They never include your name or contact details.
- If you book a room through Booking.com, Booking.com shares the dates of your stay with our booking system through its calendar link, and we share back only which dates our rooms are taken (never names or other details), so a room is never booked twice. Booking.com's own privacy notice covers what you give them.
- We never sell or share your details. Takeaway orders placed with Bozza Fodder are handled by Bozza Fodder under their own privacy terms.
How long we keep it
Booking records are kept for up to 24 months after your last visit, then deleted automatically, unless we must keep something longer by law. Messages sent through our Contact page, and our replies, are kept for up to 24 months after the last message in the conversation, then deleted automatically in the same way.
Your rights
You can ask for a copy of your data, ask us to correct it, ask us to delete it, or withdraw marketing consent at any time. Just contact us using the details above. If you're unhappy with how we've handled your data you can complain to the Information Commissioner's Office (ico.org.uk).
